MarginMax Solutions LLC respects your privacy. This policy explains what information we collect when you interact with us through our website, phone line, or SMS messages, how we use it, and what rights you have over it.
Who we are

Information we collect
We collect only the information you give us directly. Specifically:
- Contact information you provide on our consultation form: name, business name, email address, phone number, and a short description of what you're looking for.
- Phone call records and recordings. When you call our business number, the call may be recorded for quality, training, and record-keeping. If your call is answered by our AI receptionist, an audio recording and a written transcript of the conversation are created and stored.
- SMS message content when you text our business number, including your phone number, the time of each message, and the full content of messages exchanged with us or with our automated SMS agent.
- Email correspondence when you write to us directly.
- Booking information when you schedule a consultation: your selected time, contact details, and any notes you provide.
- Billing information (only if you become a paying client): payment method details are collected and processed by our payment processor, Stripe. We do not store full card numbers ourselves.
We do not knowingly collect government identifiers or other sensitive personal information through our website. We do not use third-party advertising trackers, behavioral profiling, or cross-site tracking cookies on this site.
Notice about AI-assisted communications
Some of our communication is handled with the assistance of artificial intelligence:
- When you call our business number and reach our AI receptionist, you are speaking with an automated voice agent. The receptionist will identify itself as an AI assistant. Your voice and what you say are recorded, transcribed, and processed by AI systems to generate responses.
- When you text our business number, your messages may be read and replied to by an AI-assisted system that operates under our supervision. A human reviews and intervenes when needed.
- Voice responses spoken by the AI receptionist may be generated using synthetic or voice-cloned audio.
If you are not comfortable speaking with an AI system, please email us at DonM@marginmaxsolution.com instead and we will reply personally.
How we use your information
We use the information you provide for the following purposes only:
- To respond to your consultation request and schedule a follow-up.
- To send SMS messages related to your consultation, booking confirmations, appointment reminders, missed-call follow-ups, and customer-care responses (only if you have opted in - see SMS section below).
- To send transactional emails such as receipts, confirmations, and replies to your inquiries.
- To answer your inbound phone calls and texts, including with the assistance of automated AI systems as disclosed above.
- To process billing and payments if you become a paying client.
- To diagnose and fix technical errors in our systems (limited error logs may contain incidental personal information).
- To keep records of our communications for quality, compliance, and legal purposes.
SMS messaging program
If you opt in to receive SMS messages from MarginMax Solutions, the following terms apply:
- How you opt in: by checking the SMS consent box on our consultation form, by initiating a text to our business number, or by replying YES to a confirmation request after giving verbal consent during a call.
- What we send: consultation confirmations, appointment reminders, missed-call follow-ups, account notifications, and customer-care responses related to your interaction with us. We do not send promotional or marketing SMS without separate consent.
- Frequency: message frequency varies based on your interaction with us. You will typically receive between 1 and 10 messages per month.
- Cost: message and data rates may apply, depending on your mobile carrier and plan.
- Opt out: reply STOP to any message at any time. You will receive a single confirmation message and no further texts will be sent.
- Help: reply HELP for assistance, or contact us at DonM@marginmaxsolution.com.
We will never share your phone number, SMS opt-in details, or consent records with third parties for their marketing purposes. Phone numbers collected for SMS communication are used solely by MarginMax Solutions LLC and the messaging carriers required to deliver the messages.
How we share information
We do not sell, rent, or trade your personal information. We share information only with the service providers required to operate our business, and only to the extent each provider needs to perform its role. These providers are:
- Twilio - sends and receives SMS messages, routes phone calls, and records inbound calls. Twilio Voice Intelligence transcribes recordings of calls answered by a human.
- Vapi - powers the AI voice agent that may answer your call if we are unavailable.
- Deepgram - transcribes the audio of calls handled by the AI voice agent.
- Cartesia - generates the synthetic voice spoken by the AI voice agent when our primary voice is unavailable.
- ElevenLabs - may generate premium synthetic or voice-cloned audio used by the AI voice agent.
- Anthropic (Claude) - processes call transcripts and SMS message content to generate AI-assisted responses.
- Resend - delivers transactional emails (confirmations, receipts, reminders).
- Cal.com - schedules consultations and sends booking confirmations.
- Web3Forms - receives consultation form submissions and forwards them to us.
- Supabase - provides the secure PostgreSQL database where contact information, messages, calls, and appointment records are stored.
- Cloudflare R2 - stores call recordings, generated reports, and other file-based records.
- Vercel - hosts this website.
- Google Workspace - provides our business email infrastructure.
- Stripe - processes billing and payments if you become a paying client.
- Sentry - collects technical error reports from our software, which may incidentally include limited personal information.
Each provider is contractually bound to handle your information securely and only on our behalf. We may also disclose information when legally required to do so (subpoena, court order, lawful regulatory request).
How long we keep your information
We keep consultation form submissions and contact records for as long as needed to provide our services and meet legal, accounting, and reporting requirements. SMS opt-in records are kept for the duration of your consent and for a reasonable period after opt-out as evidence of compliance. You can request deletion at any time (see below).
Your rights
You have the right to:
- Access the information we hold about you.
- Correct any information that is inaccurate or out of date.
- Delete your information from our records (subject to legal retention requirements).
- Opt out of SMS messages at any time by replying STOP.
- Withdraw consent for any communication channel at any time.
To exercise any of these rights, email DonM@marginmaxsolution.com and we will respond within 30 days.
Security
We take reasonable technical and organizational measures to protect the information you share with us. This includes encrypted connections (HTTPS) on this website, access controls on the systems where your data is stored, and limiting access to information to only those who need it to do their job.
Children
This site and our services are not directed to children under 13. We do not knowingly collect information from anyone under 13. If you believe we have inadvertently collected such information, contact us and we will delete it promptly.
Changes to this policy
We may update this policy as our services change or as required by law. The effective date at the top of this page will be updated whenever changes are made. We encourage you to review this policy periodically.
