Custom automations

The busywork between your tools, running itself.

MarginMax builds custom automations for small service businesses in North Jersey: the handoffs between the tools you already pay for, wired so they happen without anyone having to remember them. Scoped to your shop, built, tested on your real data, and handed over. Then you choose: take the keys and own it, or leave it with us and we keep it running month to month. Priced to scope, with a flat quote after a free consultation.

  • Flat quote per build, never an open hourly meter
  • Built on the tools you already run
  • Own it, or we manage it monthly

Three things that fall through every busy week.

Not a catalog. Three examples of the shape of the work, drawn the way they run. Yours will be different, and that is the point of scoping it.

01 · the estimate nobody chased

The quote went out. Then nothing.

You sent a good estimate on Tuesday. The homeowner meant to call back. By the time anyone in your shop remembered to follow up, they had signed with the company that did.

The automation watches the estimate, texts on a schedule you set, and puts a call on your board if it goes quiet. It stops the moment they book or say no.

  • Follow-ups fire on your schedule, in your words
  • Stops on a yes, a no, or a booking
  • The ones that go cold land on a list for a human
One workflow, end to end
  1. Estimate sent Marked in the tool you already use
  2. Day 2 “Any questions on the numbers?” text goes out
  3. Day 5 A short call task lands on your board
  4. Day 10 Last touch, then it files the lead as cold
  5. Any day They book or decline, and it stops

02 · the review nobody asked for

Happy customer, no review, next job.

Most shops have a handful of happy customers a week and zero new reviews, because asking is one more thing at the end of a long day. So the shop down the road with forty reviews keeps getting the call first.

The automation asks at the right moment, in your words, and tells you the second a bad one lands so you can call before it sits public.

  • Asks a couple of hours after the job closes
  • Drafts your reply to each review for you to approve
  • A one-star pings your phone immediately
One workflow, end to end
  1. Job marked complete In your calendar or job book
  2. Two hours later “Thanks for choosing us. Mind leaving a quick review?”
  3. Review lands A reply is drafted in your words, you tap approve
  4. Bad review lands You get a text with the name and number before anyone else sees it

03 · the invoice that went out late

The work was done Tuesday. The bill went out Friday.

Somebody had to sit down and type it. The copy and paste between two systems that will not talk to each other. The reminder nobody sent because it felt awkward.

The automation drafts the invoice from the job, sends it the same hour, and nudges on the schedule you set. You still approve anything you want to approve.

  • Invoice drafted from the job, not retyped
  • Reminders that are polite because they are on time
  • Marked paid, receipt sent, your books updated
One workflow, end to end
  1. Job closed Photos and notes attach themselves to the customer
  2. Same hour Invoice drafted from the job and sent
  3. Day 7 A reminder, in your words
  4. Paid Marked paid, receipt out, books reconciled

How a build actually goes.

  1. We find the handoff that is bleeding

A free consultation, on the phone or across a table. We go through where the hours and the leads actually go, and which handoff is costing the most. You leave with the map whether you hire us or not.

  2. You get a flat quote

One number for the build, priced by how complex it is, not by the hour. If it touches three tools it costs more than if it touches one, and you know that before anything starts.

  3. We build it on your real data

Wired into the tools you already run and tested against real jobs, real customers, real edge cases. Nothing touches a customer until you have watched it run.

  4. You pick how it runs

Take the handoff and it is documented and yours, with no monthly after the build. Or leave it managed: it runs on our platform, we keep it working as your tools change, and the monthly for that is on the same quote as the build.

Own it, or let us run it.

Every build ends the same way: it works, on your real data, and you have watched it run. Then you choose how it lives. Both are quoted with the build, and you can move from one to the other later.

Take the handoff

  • It runs on accounts you own: the hosting, the tools, the keys
  • Documented and handed over. Your team keeps it running
  • A higher build fee and no monthly after it
  • When a tool changes or you want more, we are a call away, quoted the same way

Leave it managed

  • It runs on our platform. We host it, watch it, and keep it working
  • When something breaks or a tool changes, we fix it. Small adjustments are covered
  • A lower build fee plus a monthly, sized to the build and quoted with it
  • Still yours. Take the keys whenever you want

The question is not whether you can own it. You can. It is whether you want to maintain it, or want us to keep it producing the result you hired it for.

Why there is no price on this page.

The phone agent has a printed price because every shop gets the same agent. Automations are the opposite: a review request that fires off a calendar is an afternoon, and a quote-to-invoice chain across three systems that have never met is a couple of weeks. One number for both would be a lie in one direction or the other.

So the number comes after the consultation, as a flat quote for the build. Not an estimate that grows, not an hourly meter you watch. If the scope changes because you want more, the quote changes and you see it before we do the work.

The same goes for the monthly if we manage it. A workflow that watches one calendar costs less to keep running than one across three systems, so the management fee is sized to the build and printed on the same quote. Own it instead and there is no monthly at all.

And when the software you need was never built.

Sometimes the thing your business needs is not on the market. A portal your customers log into. A tool your crew uses in the field. Something that only makes sense if you know the trade.

We build those too. Real applications, shaped around how your business already runs, shipped in phases so you have something working in your hands early instead of a demo in six months. The most recent one is a booking and client portal for a dog-training business in New Jersey: families request lessons, sign the release, pay the deposit, and get their pup’s recap after every session.

  • Customer portals, crew tools, scheduling, intake
  • Shipped in phases, usable early, tested against real work
  • Yours to keep, documented, no lock-in
  • Same founder on the build and on the phone afterward

Thirty minutes with the founder. We map where the hours go, name the build that would pay for itself first, and you get a flat quote in writing. The map is yours either way.
